What We Do
We effect proactive procedures to ensure that the fabric of the building together with MEP, Technical Services and external areas are maintained to specification utilizing best practices, and to comply with all applicable health and safety codes and regulations.
Planned preventative maintenance of the property, plant, and equipment is scheduled at appropriate times and intervals to minimize disruption to the business or residence. Service records are maintained for reference and to support service forecasting and capital works estimating.
We deploy technology to track the resolution of maintenance issues from submission, assignment, monitoring, verification, through to acceptance and completion. This is augmented with the use of digital photography, checklists, and the development of standard operating procedures for each property.
SERVICE PROCUREMENT
We conduct a comparative tendering process based on the scope of works, and manage the appointment of the appropriate contractors. Providers are evaluated to ensure services are delivered in a timely, professional and complete manner and a register of approved contractors is maintained.
BUILDING
IMPROVEMENTS
Planned Preventative Maintenance and reactive maintenance will be executed as part of our service level agreement. Routine inspections, to identify issues in their earliest stage, will be conducted by our qualified staff and in-network service providers, and will form the basis of a recommended building improvements schedule and further support an annual capital works budget.
We are available to facilitate the management of approved major capital works as instructed by the client, or to supervise the fit out of interior spacesfor tenants. Each of these tasks would incur separate project administration fees.
HEALTH & SAFETY
We enact contingency plans for all risks and disaster related incidents, maintain and service safety and security equipment, and arrange bi-annual evacuation drills in co-ordination with the Barbados Fire Service.
24-HR ACCESS
TERRA maintains a 24/7 Hotline service to answer and respond to emergency calls, and coordinate with subcontractors as necessary.
PROPERTY ACCOUNTING
We prepare annual operating budgets for anticipated expenditures of the property, maintain current accounts, prepare and submit monthly financial reports and arrange all routine office/accounting practices – correspondence, filing, invoicing for and collection of rents, banking, paying bills, and preparation of annual accounts for audit.
REPORTING
Comprehensive monthly/ quarterly management reports on the status and condition of the facility, and any major maintenance issues or unusual incidents with supporting evidence.

Having a facility manager provides you the owner with a manager, backed by a robust team, who has the knowledge and experience to handle all the aspects of this job and allows you to avoid personal involvement with the daily administration of the property.
The facility manager must anticipate and identify the needs of the property/owner and respond to those needs in a timely, effective and cost efficient manner. Services include collecting rents and paying of all bills, providing monthly account statements, planning all preventative maintenance and overseeing all emergency maintenance issues, handling tenant queries, and overseeing lease management.
Fees are a flat monthly charge and vary according to the features and different requirements of the property. This charge can be given after an initial site inspection of the property and a discussion with owners to assess their specific needs. Each property is different and unique, and our fees are structured to reflect the required services.
